What Does It Take to Run HR for 110 People When Every Process Is Manual?

It takes a lot of handwork, and the work grows with every hire. At Indian Highway Management Company, nothing in HR ran on software before TankhaPay.

Hiring, attendance, leave, salary and exits each needed someone to record, check and carry figures across. Every step depended on the person doing it.

That is where this story starts. Not a failing team, but a team doing system work by hand.

Who Is Indian Highway Management Company?

Indian Highways Management Company Limited is a company promoted by NHAI that works in electronic toll collection, intelligent transportation systems and digital highway management across India's National Highways, with 110 users on TankhaPay. TankhaPay is the first software it has used for people management.

Why Does Manual HR Break Down as a Company Grows?

Because every manual process depends on someone remembering to do it and someone else checking it. The more people, the more chances for a step to be missed.

Four gaps followed from running HR by hand:

GapWhat it meant at Indian Highway Management Company
RecordsEmployee details, leave and attendance held by hand, with no single source
PaySalary prepared manually, with corrections and arrears worked out outside any system
ApprovalsRequests passed along by hand, with no recorded decision
Growth and exitsIncrements, performance and exit settlements handled one at a time

Each gap added follow-up work for HR. Time went into maintaining records, not using them.

What Did TankhaPay Set Up for Indian Highway Management Company?

TankhaPay covers fourteen areas across the employee journey, in one system. Each reads from the same employee record, so nothing is entered twice.

The list groups them by job:

  • Hiring and access. The applicant tracking system (ATS) and user management cover who joins and who can see what.
  • Attendance and time. Biometric integration, shift management and leave management record the working day.
  • Approvals. Approval workflows route each request to the right person.
  • Pay. Payroll, salary correction, arrears and vouchers run in the same place.
  • Growth. Increment reports, performance management and training and development track progress.
  • Exits. The full and final module settles an employee's dues on leaving.

How Do Biometric Attendance and Shift Management Work Together?

Biometric devices record each employee's punch, and shift management ties it to the assigned shift. Attendance is captured once, and the rest of the process reads from it.

Each punch goes into the system without anyone writing it down. Shift patterns are held in the same place, so hours and shifts sit in one record.

Biometric attendance gives HR one view of who was present, on which shift, and in which location they work from.

How Are Leave and Approvals Handled?

The leaves and all other approvals have specific workflows in TankhaPay. All the approvals go to the concerned persons and then get recorded.

The balances of leaves are maintained in the very same record where the payroll takes data. There is no transfer of leaves into the payroll sheets. Because every decision is recorded, anyone reviewing a request later can see who approved it and when.

How Does Hiring Run Through the ATS?

The ATS receives and tracks applications in the same system as employee records. An ATS is the tool that manages candidates through each stage of hiring.

When a candidate joins, their details carry into the employee record. HR does not retype them in a second tool.

User management then controls what each person can see or change, so hiring data and employee data stay with the right people.

How Does Payroll Handle Corrections, Arrears and Vouchers?

Payroll reads from attendance, leave and approved claims, and the same system handles corrections, arrears and vouchers. None of these sit on a separate sheet.

  • Payroll. Salary is processed from recorded attendance, shift and leave data.
  • Salary correction. When a figure needs fixing, the correction is made in the system and recorded against the employee.
  • Arrears. When a salary revision applies from an earlier date, the difference for the earlier months is calculated in the same system.
  • Vouchers. Employee claims are raised as vouchers and approved through the workflow.

How Are Increments, Performance and Training Tracked?

Increment reports, performance management and training and development sit next to the employee record. Growth decisions can draw on data already in the system.

Increment reports show salary revisions across the workforce. Performance management records how each employee is assessed, and training and development records the learning they complete.

Because all three read from one record, a review does not start with gathering information from separate files.

"Everything in HR used to be done by hand, and it took a lot of effort to keep it accurate. Now hiring, attendance, leave, salary and exits are all in one system, and every figure can be traced back to its record."

How Does the Full and Final Module Handle Exits?

The full and final module settles an employee's dues in the same system that holds their records. The settlement is prepared from the data already there.

Attendance, leave balance, pending claims and any arrears all sit in one record. HR does not collect them from several places when someone leaves.

An exit is the point where missing records cause the most trouble. A single record means the settlement is complete.

What Changed for the Indian Highway Management Company After Moving to TankhaPay?

The company moved 110 employees from manual HR to one system covering the employee journey from application to exit. The fourteen modules in the study all read from the same record.

The table compares each area before and after, using what the case study documents.

What Should a Digital Infrastructure Company Ask Before Choosing a First HRMS?

Asking whether the system manages the entire employee lifecycle, which means you won't get stuck with multiple systems. Should the recruitment, salary and termination processes exist in separate systems, then the work on the re-entry starts all over again. There are six questions to ask in any demo:

  • Can the results of the biometric timekeeping be imported directly into the payroll system? With the uploading and merging of punches, the manual process remains intact.
  • Is it possible to see the history of approvals for each request? The workflow process without history cannot address a future question.
  • Does the chosen candidate become part of the employee file without re-entry? In case of retyping the information, ATS and HR systems are not integrated.
  • Can adjustments and back payments be made within the system? In case they are done using spreadsheets and imported later, mistakes appear in them.
  • Does full and final run from the same record? If settlements are built outside, someone has to gather the figures each time.
  • Can access be limited by role? In a first HR system, check this early, because it is hard to add later.

Is Your HR Still Running Manually?

If hiring, attendance, leave, pay and exits still depend on hand work, the effort grows with every new employee. TankhaPay can walk through your hiring process, attendance setup and payroll inputs with your team.
