Why Did Jivo's Payroll Problem Turn Out to Be an Attendance Problem?
Because every payroll calculation depends on one input: who worked, when, where and for how long. At Jivo, that input was collected by hand.
Jivo's HR team was trying to fix payroll. The errors they were chasing had already entered the data before a single payslip was generated.
That is where this story starts. Not a payroll problem, but an attendance problem showing up as one.
Who Is Jivo Wellness?
Jivo Wellness is an Indian health and wellness brand with a portfolio of edible oils, ghee, nutraceuticals and natural mineral water. Over 15 years it has grown across manufacturing, distribution, field sales and office functions.
It employs 500-plus staff members who operate out of several locations and capacities. Shift workers are employed at the factory, while field sales reps manage territories, distributors work out of several depots, and office workers follow regular working hours.
Why Do Distributed Workforces Break Payroll Faster Than Anything Else?
Since errors in manual attendance occur in clusters and not as individual occurrences, and they exist in the database prior to running the payroll process.
By the time a mistake surfaces, the payroll has run, and the filing may already be with a government authority. One wrong input breaks four steps in sequence:
| Step | What goes wrong |
|---|---|
| Attendance | Collected manually, with errors |
| Salary | Calculated on the wrong days and hours |
| Deductions | Off the mark, because they follow salary |
| Filing | Wrong figures submitted to the government |
How Heavy Is India's Statutory Compliance Load for an FMCG Company?
Every firm in India needs to take care of four basic statutory responsibilities, and an FMCG firm takes care of numerous other responsibilities. In case of Jivo, the number of such responsibilities is 16+.
Manufacturing, distribution and the food and wellness regulatory environment add layers on top of the core four. Staff across states multiply them further.
| Obligation | What it involves |
|---|---|
| PF (Provident Fund) | Employer and employee contributions are each at 12% of PF wages, remitted by the 15th of the following month |
| ESI (Employees' State Insurance) | Monthly filings, with employee eligibility checked against the wage threshold before each run |
| PT (Professional Tax) | State-level tax with different slabs and schedules in every state, so staff across states means several regimes at once |
| TDS (Tax Deducted at Source) | Monthly recalculation for each employee, quarterly returns and annual certificates |
What Was Breaking at Jivo Before TankhaPay?
Attendance was the first failure point, and everything after it inherited the error. Without biometric or app-based tracking, attendance was logged manually and consolidated before each payroll run.
Wrong attendance meant wrong salary and wrong deductions. Compliance filings went out with wrong figures, then had to be corrected, refiled and reconciled.
Employees also had no view of their own payroll data, so every query landed with HR. At 500+ people, routine questions took the same bandwidth as the compliance work that needed real expertise.
It wasn’t because the HR team was incompetent that they failed; rather, they were dealing with the challenges of remote attendance, payroll, and 16 obligations compliance all at once without the technology to do so.
How Did TankhaPay Fix It, and in What Order?
TankhaPay began from the very beginning; attendance, payroll, and compliance were built out of clean data. Jivo required the solution to all three problems to be tackled together as one system.
The fix ran in four steps:
- Fix attendance. App-based and biometric tracking now covers field, factory, distribution, and office staff. Data feeds the payroll engine in real time, and the manual consolidation step was removed.
- Automate payroll. Salaries are calculated per employee. PF is applied at the correct rate, ESI eligibility is checked before every run, Professional Tax follows each employee's state, and TDS is recalculated monthly per individual.
- Put all 16+ filings on automated schedules. PF and ESI are filed before the 15th, Professional Tax goes to each state authority, TDS is deposited monthly and returned quarterly, and Form 16 follows at year-end. Documentation is retained and audit-ready.
- Give employees self-service. Payslips, leave records, salary history, and tax documents are available on demand, with no HR request needed.
TankhaPay has greatly enhanced our payroll and compliance operations at Jivo. Thanks to precise salary calculations, on-time payments, and automated compliance, our HR team can now concentrate on strategic priorities, boosting both efficiency and employee satisfaction as we grow.
What Changed for Jivo After Moving to TankhaPay?
Time for processing payrolls was reduced by 73%, and all statutory submissions are timely. This was achieved through the correction of the attendance issue, not by adding to an already faulty process.
The table sets the before against the after.
The 52% drop in HR queries followed directly from self-service. Employees found their own payslips and records, and HR time went back to compliance and planning.
Most payroll errors do not start in payroll. Jivo needed attendance, salary, and compliance to read from one record, and once the source was fixed, the rest followed.
What Should a Distributed Workforce Ask Before Choosing an HRMS?
Consider where your payroll mistakes actually start. For most businesses with factory, field, and depot workers, the answer is attendance.
There are four key questions to ask in every demo:
- Is attendance integrated with payroll without manual consolidation? If someone exports and consolidates sheets prior to processing, then that's where your errors originate.
- Can it capture attendance for every type of worker? Biometrics suit the factory and office. Field and depot staff need an app.
- Does it apply state-wise rules automatically? Ask how Professional Tax, PF, and ESI are handled when staff sit in several states.
- Can employees view their own record? Without self-service, all queries will be directed to HR.
